Timeline & Deadlines

Deadline to Accept Presenter Spot | January 9, 2023
The coordinating presenter for each session should email Tara Milliken and Kala Grove to confirm their participation.
Attend Overview and Q&A Session | January 30 & 31, 2023
All presenters should register for one of these mandatory presenter training and Q&A sessions:
- Monday, January 30, 2023 from 2:00-3:00 pm REGISTER HERE
- Tuesday, January 31, 2023 from 9:00-10:00 am REGISTER HERE
Deadline to Submit Final Session Information | February 3, 2023
Review your session title, presenter list, and session descriptions and use the Commenting/Suggesting function to make any edits needed. This information will be used to populate the conference website and any other conference materials.
Register for the Conference | Deadline February 16, 2023
There will be both in-person and virtual events.
- Tuesday, March 7 | Virtual Keynote & Welcome
- Wednesday, March 8 | Community Building Sessions
- Thursday, March 9 | In-Person Breakout Sessions & Closing at Gordon Dining & Event Center
Deadline to Submit Presentation Slides | End of Day - March 6, 2023
Please submit a finalized version of any presentation slides or visual aids you plan to use. We will make sure your presentation slides are open and available on the computer in the room you will be presenting in.
How to upload your presentation slides:

- Step 1: Change your presentation file name to match this naming convention: SessionName_TodaysDate
- Step 2: Open this link to a Google Drive Folder
- Step 3: Upload your file into your specific folder
- If your presentation is a PowerPoint file, drag your file into Drive folder to save
- If your presentation is a Google Slides file, either download your file and drag into the Drive folder to save OR right click on the file > Move to > Shared with me > Find ‘2023 Breakout Session Presentation Slides’
- Please note: Once your presentation slides have been uploaded, we encourage your to open the file in the Google Drive folder and double check that the content and formatting still looks good.

Preparing for your Presentation

Make your presentation accessible, inclusive, and engaging
- Ten Tips For An Engaging Presentation
- An Abbreviated Guide to Accessible Presentations
- Fonts should be no smaller than 24-point. A 40-point font (or larger) is recommended for titles.
- Use colors on opposite ends of the color spectrum and starkly contrast each other.
- Include alt-text for all images and charts and describe those while presenting.
- If you plan to include a video, that video should be captioned.

Print and bring any additional handouts or materials
If you plan to bring handouts or other shareable materials, please bring enough for up to 100 participants.
The Day of Your Presentation
All breakout sessions will be held in person at Gordon Dining & Event Center on March 9th, 2023

Your Session Time and Location
- Review the conference schedule to identify your assigned presentation time and room location. (Coming soon! You’ll be notified when the schedule has been created.)
- When you arrive at Gordon Dining & Event Center, please check in at the conference registration table as a presenter.
- Plan to arrive at your room 10 minutes prior to the start of your session for set-up. Please be sure to bring any materials with you.
Presentation Space and Technology
The presentation rooms all have round tables, movable chairs, and are equipped with an AV package including:

- computer
- projection
- microphones
- a remote (clicker)
- access to Wi-Fi.
If you have additional room requests, please reach out to info@advising.wisc.edu by 12:00 PM on February 2.
The provided computer in the room will have your presentation preloaded.
Support During Your Session
You will have a Technology Host and a Session Host assigned to your breakout session. We will share who your hosts are prior to the conference.
Session hosts will:
Introduce presenters, help move the microphone during audience involvement, pass out handouts and materials, give 2 and 5 minute warnings before your session ends, assist with participant seating, make conference announcements after your session concludes, and support you in other ways!
Technology hosts will:
Ensure your presentation is open and ready to go before the start of your session, help with microphone checks, dim lights during any videos, assist with troubleshooting, and support any other technology needs during your session.
